Description

Responsible for the management of the Events team. This includes consulting, personalizing, and organizing events for all Events customers. Responsible for all aspects of event services. Coordinates with Sales, Business Development Managers, relevant Hotels Departments, and customers. Manages all aspects of hotel events, from Service Managers to Business Development Managers. To ensure that every customer receives consistent, high-quality service during each event.

Responsibilities
  • Assists in the coordination of all events, as delegated, to ensure customer satisfaction and greater yielding from each event.
  • All department heads should be informed about significant groups that could have an impact on the operation of the Hotel.
  • Follow the Hotel's Selling Strategy For Events and Groups
  • Group Audits and Booking Procedures for Catering and Events Calendars are followed.
  • To maximize profit, increase productivity, and improve efficiency, it is important to continuously review the procedures and processes in your department.
  • In-house inspection of the site for Sales Managers and/or Business Development Managers
  • Completely understands and complies with all policies and procedures of the hotel/ department.
  • Reviews arrival and departure needs of travelers and relays relevant information to the appropriate departments
  • Without fail, conduct the weekly revenue meetings as well as the GRC meeting. Highlight the input and alert.
  • Establishes a Mini Room Block for Group Events. Also ensures that the room block is properly managed so that accurate rooms forecasts can be made
  • Assures that the Daily Events Sheet's information is accurate, complete, and timely distributed.
  • Changes to Banquet Event Orders as needed. Make sure that the correct information is communicated to relevant departments promptly to ensure that you receive the best possible service.
  • Identifies groups that do not have scheduled functions, and communicates them to outlets to help them predict business levels.
  • Distributes the weekly Event Forecast identifying sales and covers by meal periods.
  • Prepares and distributes forms to request amenity services for clients. Receive approvals from the appropriate parties and ensure that delivery is completed on time.
  • Assist the Director of Sales/Assistant director of Sales in following up on sales goals and files.
  • Client files should be kept current and organized with all necessary information.
  • To achieve the goals set, monitor event production and adjust activities.
  • Actively maintains business relationships with customers and ensures repeat and new business to support revenue goals
  • Assures that lead requests are dealt with according to the policy.
  • Assisting clients in determining their exact event needs
  • As per guest requests, ensures active follow-up on all offers sent.
  • Preparation of proposals / contracts according to guest requirements. Ensure that company standard are met.
  • Responsible for anticipating and coordinating all event needs
  • To ensure that insurance, legal, safety, and health obligations are met
  • Coordinate with the venue management, caterers and stand designers, contractors, and equipment rental;
  • Establish a close relationship with Sales Offices, and other sources of information and support for events/sales, and maintain active communication.
  • Communicate with prospects and accounts promptly and effectively.
  • All incoming group and banquet leads are handled in conjunction with the relevant sales division. This includes all communication, negotiation, and contracting.
  • Group business can be assessed to maximize the contribution of public space. This will generate room revenues and help you reach Conference and Events budgets.
  • All leads must be taken into consideration before the offer letter is sent.
  • Requests feedback from the department head or director at Revenue on rates, availability, and offer letters
  • Assist in the management, maintenance and updating of the Sales and Catering System (OPERA), as per company policy & standards.
  • Ensures that all Groups & Events comply with company policies
  • Cross-selling regrettable business to sister properties is a good idea.
  • Assisting guests with their satisfaction and supervising banquet operations during events.
  • On a daily basis, inspect function rooms
  • Responsible for organizing the exit meeting with the decision maker/ meeting planner
  • Responsibilities include handling customer requests unexpectedly
  • Be fully aware of all equipment available in the hotel
  • Assists the Operations team with their functional needs and provides direction
  • To comply fully with the hotel's credit policy when obtaining pre-payment or approved letters of credit for all events
  • Assures proper distribution and preparation of Event Orders according to departmental standards.
  • To ensure that events are set up according to customer specifications, inspect all areas of the function area.
  • Interview with the meeting planner to conduct an exit interview and record the data in the hotel's CRM system.
  • To ensure clear communication with all departments, particularly the kitchen and banquet operations, follow-up on event orders
  • For repeat business, keep in touch with your customer after sales
  • Conducts or arranges for site inspections of hotel facilities
Qualifications
  • Hotel & Hospitality Management Degree
  • Three years of experience in the events sector in a 5-star luxury hotel
  • Middle East Experience
  • Basic level - Microsoft Office Applications
  • High-level written and spoken business English
  • Selling role with proven results
